The Ultimate Guide to VCU Bill Pay: Everything You Need to Know

Post date |

Hey folks! If you’ve ever found yourself scratching your head about how to pay your VCU bill, you’re definitely not alone. Whether you’re a student at Virginia Commonwealth University or a patient at VCU Health, navigating the bill payment process can sometimes feel like trying to solve a Rubik’s cube blindfolded. But don’t worry – I’ve got you covered with this comprehensive guide to VCU bill pay options.

Understanding VCU Bill Pay Systems

First things first – it’s important to understand that there are actually two separate VCU bill pay systems

  1. VCU Student Financial Services – For tuition, fees, and other university expenses
  2. VCU Health MyChart – For medical bills and healthcare expenses

This distinction is super important because these systems are completely separate, and you’ll need to use the right one depending on what type of bill you’re trying to pay.

How to Pay Your VCU Student Bill

VCU issues bills electronically for students, and payment is typically due at the start of each semester. When your eStatement is available, you’ll receive a notification at your VCU email address. Remember that the email itself is not your bill – it’s just letting you know your bill is ready to view.

Viewing and Paying Your Student Bill

To view and pay your VCU student bill

  1. Access eServices through the VCU website
  2. Select: Student > Student account > Make a payment > eStatements
  3. Follow the prompts to complete your payment

Setting Up Authorized Users

If you’re a parent or someone else helping to pay a student’s bill, you’ll need authorized user access Students can assign authorized users through the billing and payment website by following these steps

  1. Access eServices
  2. Select: Student > Student account > Make a payment > Authorized users
  3. Enter the email address of the person you want to authorize

Once assigned, authorized users can go directly to the billing and payment website and sign in with their email address.

Payment Options for Student Bills

VCU accepts several payment methods for student bills:

Credit/Debit Card

  • All credit card payments must be made online through the billing portal
  • Accepted cards: Visa, MasterCard, Discover, American Express
  • Convenience fees apply: 3% (minimum $3) for domestic cards or 4.25% (minimum $3) for international cards
  • Credit card payments cannot be made by phone or fax

Cash

  • Accepted only at the Harris Hall cashier’s office
  • Hours: 9 a.m. to 3 p.m., Monday through Friday
  • Do not mail or drop off cash (duh, but some people need to be told this!)

Check or Money Order

  • Make payable to “Virginia Commonwealth University” or “VCU”
  • Include student’s name and V number
  • Submit in person, by mail, or online

Electronic Payment

  • VCU accepts domestic and international wire transfers or ACH payments
  • International payments can be made through TransferMate or Flywire

Installment Payment Plan

Did ya know VCU offers an Installment Payment Plan? This neat option lets qualified students break up their bill into four equal installments throughout each semester. This can be a total lifesaver if you’re not able to pay the full amount upfront!

How to Pay Your VCU Health Bill

If you’re dealing with a medical bill from VCU Health, the process is different from paying student bills. VCU Health uses MyChart as their secure patient portal for electronic health records and bill payment.

Using MyChart for Medical Bill Payment

MyChart is a secure patient portal that powers VCU Health’s electronic health records (EHR). Through MyChart, you can:

  • Pay your medical bills
  • Manage appointments
  • Send messages to your provider
  • Request prescription refills
  • See appointment summaries
  • Review test results
  • Attend virtual appointments
  • Prepare for appointments with eCheck-in
  • Share your medical records with family and other healthcare providers

To get started with MyChart on your smartphone, you can download the MyChart app.

Previous Portal Access

As of December 4, 2021, MyChart is VCU Health’s patient portal. The previous My VCU Health Patient Portal is now view-only, but you can still access it if needed.

Sharing MyChart Access with Others

If you want to allow a family member or caregiver to help manage your healthcare, including bill payment, you can set up proxy access. This is the safest way to share your account rather than giving someone your login information.

Types of proxy access include:

  • Full Access: Schedule appointments, send messages, view clinical chart
  • Clinic Access: View clinical chart only
  • Scheduling/Messaging Access: Schedule appointments and send messages

Important Considerations for Both Systems

Overpayment Policies

It’s important to note that VCU discourages personal payments that exceed the amount owed. For student accounts, total personal payments that exceed charges by more than $5,000 may not be refunded to the student but may be applied to a future semester, reversed, or returned to the originator.

Similarly, for international payments, overpayments exceeding $5,000 per semester will not be refunded to the student and will be returned to the originator of the payment.

Dishonored Payments

Be aware that VCU charges a $50 fee for any dishonored check or chargeback credit card payment. A student who pays a past due balance with a dishonored payment may also be subject to having their current and/or future registration cancelled.

Tips for Smooth Bill Payment

Here are some of my personal tips for making sure your bill payment goes smoothly:

  1. Always check your VCU email regularly – This is how you’ll be notified about new bills
  2. Set calendar reminders for payment due dates
  3. Consider setting up automatic payments if available
  4. Keep your contact information updated in both systems
  5. Save confirmation numbers when making payments online
  6. Download PDF copies of receipts for your records
